Check In Customers
Click Customer Check-In from the Navigator or the Navigator Toolbar.
Options
From here you have several options, depending on your situation.
To check in existing buyers or to find out if someone is an existing buyer, use the quick check-in buttons along the top of the window. If any of the quick check-in buttons fails to find a buyer, you will be prompted to add them.
- Find By Name – Quickly check in buyers by first, last, or company name (full or partial).
- Find By Phone # – Quickly check in buyers by full or partial phone number (last 4 digits, last 7 digits, etc.).
- Find By Reserve # – Quickly check in buyers by their reserved bid card number.
- Scan Drvr License – Quickly check in buyers by swiping their driver’s license through a magnetic stripe reader or a 2-dimensional barcode scanner, depending on state. Additionally, if the buyer is not found, you can elect to create the buyer and the system will automatically extract the buyer’s information from their driver’s license.
- Customer Maintenance (document and binoculars icon) – Quickly check in an existing customer.
- ID (ID icon) – Quickly check in buyers by their ID. The ID field is most commonly used when an auction house has distributed buyer ID cards with barcodes or magnetic stripes.
- Customer Code (C icon) – Quickly check in buyers based on their customer code.
- To check in a buyer that you know is new, click New Customer from Auction Customer Controls.
Advanced Options
Click the Advanced button, and then click one of these options:
- H – Quickly check in all registered buyers from a previous auction.
- Alt Bid – Quickly check in all buyers with Alternate Bids (Absentee Bids or Phone Bids) for this auction.
Add An Alert
In the Alert field, enter an optional alert to appear every time the customer checks in or out. In this example, we entered “Cash Only Buyer” as the alert.
Here is an example of the alert:
Determine a customer’s tax status.
If a customer is tax exempt, simply make sure the Taxable 1 (and/or Taxable 2) box is unchecked. You may enter the customer’s tax exempt number in the next field if you wish.
Take an image of the buyer. You can take up to two images with a USB webcam by clicking on the image fields in the upper-right corner of the General window.
There are several options once the buyer has been checked in:
- To edit a buyer’s information, simply highlight that buyer from the list and click the Edit button on the left.
- To change the bid card number that a buyer is checked in under, highlight that buyer and select BidCard# on the left.
- To remove a selected buyer (or buyers), highlight the buyer(s) and click the Remove button.
